NYC: Executive Assistant to the Deputy Director ACLU

The American Civil Liberties Union (ACLU), the nation’s premier public interest organization devoted to the defense of the Bill of Rights, seeks a fulltime Executive Assistant to work with the Deputy Executive Director. The Executive Assistant will report to the Deputy Director and work closely with the organization's staff, board, affiliates, funders and the media.

ROLES AND RESPONSIBILITIES

• Draft, edit, produce and distribute correspondence as directed
• Receive and screen communications to the Deputy Director, including telephone calls, mail and e-mail messages
• Create and develop visual presentations (charts, graphs) as needed
• Coordinate meetings and prepare meeting materials for Deputy Director with various committees, donors, affiliates, staff, etc.
• Record meeting minutes
• Assist with annual budget process
• Prepare various confidential reports and documents including information collection and compiling into standard format
• Handle the travel arrangements, meetings, conference calls and maintain the appointment calendar for the Deputy Director
• Liaise with outside organizations regarding requests for information
• Maintain electronic and hard copy files, including contact information
• Process invoices and prepare requests for reimbursement
• Collect, open and prioritize mail
• General photocopying and faxing as needed
• Monitor and maintain appropriate levels of office supplies
• Undertake special projects as assigned

EXPERIENCE AND QUALIFICATIONS

• Demonstrated high-level administrative experience
• Associates or Bachelors degree preferred
• Fluency with Word, Excel, Access, PowerPoint, Outlook and other applications in Windows environment
• Experience with internet research and database management
• Must have pleasant telephone manner, outstanding interpersonal and communications skills
• Proficiency with managing and tracking budgets.
• Strong attention to detail, solid writing and organizational skills
• Ability to manage multiple projects simultaneously under strict deadlines
• Calm demeanor in fast paced environment with minimal supervision
• Ability to work as part of a team and independently
• An interest in civil liberties is preferred
