SF: CJA Operations Coordinator

The Center for Justice & Accountability (CJA) is an international human rights organization dedicated to ending torture and other severe human rights abuses around the world and advancing the rights of survivors to seek truth, justice and reparations.

CJA uses litigation in United States and Spanish courts to hold perpetrators individually accountable for human rights abuses, develop human rights law, and advance the rule of law in countries transitioning from periods of abuse.

OVERVIEW
CJA seeks to hire an Operations Coordinator for our San Francisco office. Please read the responsibilities, qualifications, and application instructions for the position below carefully before applying. More information on our mission and programs is available on our website http://www.cja.org .

The Operations Coordinator is a new position at CJA that attempts to combine core administrative support tasks with aspects of nonprofit management, fundraising, and accounting. We are looking for an energetic, task-oriented, detail-oriented individual who is looking to gain significant experience in managing the operations of a small human rights NGO. While there is a lot of administrative work involved in this position, there is also an opportunity for professional growth, particularly for those looking to eventually manage and fundraise for human rights nonprofits. The position will provide wide exposure to a large network of human rights experts, survivor and refugee communities, torture treatment centers, and other nonprofit groups. The Operations Coordinator will report to the Executive Director and the Development Director.

The core areas of responsibility for the position are financial management, development and fundraising, general administration, and outreach and case support.

Financial Management:
The Operations Coordinator will spend approximately 20 percent of his or her time on financial management. This includes bookkeeping in Quickbooks, expense tracking, bank reconciliations, grant allocation, management of insurance policies payroll, and bill payment. He or she will also assist the Executive Director in generating annual and project-specific budgets, and will manage and oversee the annual organizational audit.

Development and Fundraising:
The Operations Coordinator will spend approximately 35 percent of his or her time on development and fundraising-related tasks. He or she will be responsible for organizational database maintenance, donation tracking, management of foundation and donor files, and donor correspondence. He or she will also assist in building CJA’s direct mail program with the Development and Executive Directors. Lastly, the Operations Coordinator will research potential foundation and donor prospects and help draft letters of intent and formal proposals. He or she will also keep a grants calendar to track when various reports and proposals are due.

General Administration:
The Operations Coordinator will spend approximately 30 percent of his or her time on general administration. He or she will ensure that the office runs smoothly, that supplies are ordered in a timely manner, that the mail is picked up and sorted, that the phone is answered and messages are passed on to the appropriate people, and that office systems (copier, fax, computer network) are working properly. While most CJA employees handle their own administrative work, it will occasionally be necessary for the Operations Coordinator to assist senior staff with copying, faxing, and other administrative tasks. He or she will also assist the Executive Director at Board meetings and with Board correspondence.

Outreach and Case Support:
The Operations Coordinator will spend approximately 15 percent of his or her time on outreach and case support. CJA’s trials against human rights abusers in the U.S. often involve significant logistical challenges, including flying in witnesses and family members of our clients from other countries, as well as booking hotel rooms and generally being available to CJA attorneys and clients as problems arise. The Operations Coordinator will be the primary point person for all logistical issues during trials. He or she will also be responsible for managing e-mail outreach and press releases as well as helping to coordinate events. Throughout the year, the Operations Director will provide minimal paralegal support to CJA attorneys, which will include filing and organizing pleadings to the court.

MINIMUM QUALIFICATIONS
Minimum Qualifications:
• Demonstrated commitment to human rights work. Experience with refugees and/or torture survivors desirable.
• Bachelor of Arts or Bachelor of Science degree.
• Excellent research and writing skills. Ability to draft formal correspondence to donors, foundations, and other organizations.
• Exceptional attention to detail and excellent time-management skills.
• Strong communication skills in English, including with people from different cultures and backgrounds.
• Knowledge of basic nonprofit bookkeeping and accounting practices, including knowledge of Quickbooks 2004.
• Proficiency in variety of software including database applications, Word, and Excel. Must be comfortable working on a Windows/PC network.


Additional Qualifications:
(desirable but not mandatory)
• Fluency in Spanish, French, Creole, or Arabic.
• Proficiency in HTML, Dreamweaver, or other website editing software.
• Proficiency in Adobe InDesign, Illustrator, or Quark Xpress with some knowledge of graphic design, especially layout of brochures, invitations, and newsletters.
• Experience planning and executing outreach and fundraising events for nonprofits.
