Program Assistant
The International Center for Transitional Justice (ICTJ) assists countries pursuing accountability for past mass atrocity or human rights abuse. The Center works in societies emerging from repressive rule or armed conflict, as well as in established democracies where historical injustices or systemic abuse remain unresolved.
ICTJ seeks a Program Assistant for the Country Program Unit (CPU) in our New York Office, working closely with Senior Associates; position reports to Senior Associates.
RESPONSIBILITIES:
• Manage the daily calendar of Senior Associates and contacts; coordinate schedules, and individual or group meetings as needed.
• Maintain regular contact with contractors and in-country partners. Keep track of contract deadlines and manage all payments, cash advances and reimbursements.
• Assist with research which may include country background, potential partner backgrounds, thematic/program specific fact checking and other related program ideas.
• Handle cash advances, check requests and reimbursements for Senior Associates. Assist with the preparation of budgets and grant reports for each country unit and track monthly expenses against the budget.
• Assist with event planning which includes preparing invitations, corresponding with participants, preparing background materials and providing logistical support. Coordinate travel arrangements with the Travel Coordinator.
• Administer the implementation of specific projects as requested by Senior Associates, including any follow-up work from meetings, travels, conferences or seminars.
QUALIFICATIONS:
• Required
o Bachelor’s Degree.
o 1-2 years general work experience.
o Excellent oral, written and interpersonal communication skills.
o Ability to multi-task, work well under pressure, meet deadlines and be detail oriented.
o Must demonstrate a high level of professionalism.
o Proficiency in Microsoft Office applications.
• Preferred
o Professional level oral and written capability in French and Spanish.
